Today’s Information Management professionals are deluged with audit requests, for a wide variety of purposes and from a wide variety of bodies, each with its own requirements for collation and submission, and each potentially having its own access security implications.
Managing audits has become incredibly time-consuming, and in an organization with a distributed document storage model, simple collation can turn into a resource-sapping monster, driving Release of Information costs sky-high and putting a tremendous burden on IM professionals to respond to audit requests in a timely manner and hit internal targets and SLA’s.
Audit’s comprehensive audit management functionality allows even the most demanding of audits to be fulfilled without having to touch a single piece of paper. As audits are requested by either internal or external bodies… legal department, business offices, insurance companies, or even government agencies… your staff are able to build an electronic list of documents to be audited. These are assigned an Audit ID and version-controlled from that point.
That means that master documents stay master documents, and whatever manipulation, addendums or attachments are necessary to prepare documents for audit submissions are maintained separately. Moreover, these documents may already exist within your internal CMS, AIMVault repository, or still be in paper form. By inclusion in the audit, you are requesting that document be made available to you for the audit. From there, you can upload additional pages or documents to be appended to it (either as PDF, images or scan directly to the document yourself via our ScanToVault system. Of course, you can always ask us to collect the additional paper and scan it for you
When you have completed your assembly process, this audit can be made available internally via AIMVault, externally using our ROI secure document grant package, as an ISO image for you to download and burn to disc, or we can send you as many custom-labeled CD/DVD’s as you require for your submission purposes.
All submissions are version-controlled, so that you can always return to a given submission to add additional information if required by your auditors, yet maintain control over precisely what content was submitted and when. Further, you can scan all correspondence regarding an audit to a separate correspondence file that is linked to the audit, thereby maintaining a completely auditable history of your interactions with not only the auditing body, but any other vendors/clients necessary to involve in the process of assembly.
All of this functionality is exposed from within the AIMVault framework, so you also can enjoy the same security and control over the entire audit process as is available within all other AIMVault modules. Contact us today so that we can show you how powerful, yet simple and easy to use, Audit is. You will never look at managing audits in the same light again.
